We collect the following information when you create an account or use our services: your full name and email address; payment information (processed securely by Stripe: we do not store card details); your course enrolment and progress data; messages you send through our contact form; any information you voluntarily provide in your profile.
We use your data to: provide and manage your course access; process payments and send receipts; send you course-related communications; improve our platform and services; respond to your enquiries; comply with legal obligations. We do not sell your data to third parties.
When you use our AI trainer, CV builder or interview coach, your inputs are sent to Anthropic's Claude API for processing. Please do not include sensitive personal information such as NHS patient data, financial account details, or other people's private information in your prompts. We do not store AI conversation history beyond your current session.
We use essential cookies to keep you logged in and maintain your session. We use analytics cookies (via Google Analytics) to understand how our site is used. You can opt out of analytics cookies at any time. We do not use advertising cookies.
Your data is stored securely using Supabase, which operates on servers within the EU. We use industry-standard encryption for data in transit and at rest. Access to your data is restricted to authorised staff only.
We retain your account data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or financial compliance purposes (typically 7 years for payment records).
Under UK GDPR you have the right to: access the data we hold about you; correct inaccurate data; request deletion of your data; object to processing; request data portability. To exercise any of these rights, email support@smoothops365.com. We will respond within 30 days.
We use the following third-party services: Stripe for payment processing; Supabase for database and authentication; Anthropic for AI features; Vercel for hosting; Google Analytics for website analytics; Resend for transactional emails. Each of these services has its own privacy policy.
We may update this policy from time to time. We will notify you of significant changes by email. The date at the top of this page shows when it was last updated.
